If invalid odometer readings were submitted for vehicles in your fleet, an exception report can be generated to notify you. The report outlines the transaction dates, supplier names, locations, transaction odometer readings entered, the last odometer reading recorded and the date of the recording, the odometer reading variance, and the days since the last valid odometer reading.

The odometer reading is the figure on a vehicle that indicates the total distance the vehicle has travelled.

Possible reasons for an invalid odometer reading

  • No odometer reading was entered at the point of sale. (NB: It is your employees' responsibility to submit a correct reading to ensure accurate fleet reporting).
  • The cashier at the service station accidentally entered the incorrect reading.
  • The driver(s) of the vehicle made an error when recording the reading.
Actions to take if an invalid odometer reading has been submitted for your vehicle

  • Identify drivers who regularly enter incorrect odometer readings and advise them to make an effort to supply the correct odometer reading.
  • Write down or take a picture of the odometer reading before refuelling.
  • Provide the exact odometer reading shown on the display without rounding.
  • Educate the drivers about the importance of submitting a correct odometer reading.
